Sen POS Terms & Conditions

These Terms & Conditions apply to Sen POS services provided by Studio Sen. By requesting, purchasing, using or continuing to use Sen POS, you agree to these terms.

Sen POS is a business service designed for takeaways, restaurants, cafés and other food businesses. The service may include POS software, online ordering, menu setup, takeaway websites, order management tools, kitchen printing support, customer ordering links, reporting features, technical support and related setup services.

Studio Sen may provide Sen POS directly or through third-party software, payment, printing, delivery, hosting or technology providers. Some parts of the service may depend on third-party systems. Studio Sen will take reasonable steps to provide a reliable service, but we cannot guarantee that third-party platforms, internet connections, payment providers, app stores, hardware devices or external integrations will always work without interruption.

The customer is responsible for giving accurate business details, menu information, prices, allergens, opening hours, delivery areas, VAT status, bank details, business policies and any other information needed to set up the system. Studio Sen is not responsible for losses, customer complaints or order issues caused by incorrect or outdated information provided by the customer.

Setup work may include menu entry, design adjustments, website setup, online ordering setup, POS configuration, printer setup, testing and basic training. Any setup fee agreed before work begins is payable as agreed. Setup fees are generally non-refundable once work has started, because time and resources are used to prepare the system.

Monthly fees, software fees, support fees, transaction fees, online ordering fees or other agreed charges must be paid on time. Prices will be confirmed before the service starts. If a payment is missed, delayed or declined, Studio Sen may pause support, restrict access, suspend services or cancel the account until payment is made.

The customer remains responsible for all orders accepted through the system. This includes preparing food correctly, managing delivery and collection times, dealing with customer complaints, issuing refunds where needed, following food hygiene rules, managing allergens and keeping menu items up to date. Sen POS helps manage orders, but it does not replace the customer’s responsibility to run their own business correctly.

If online payments are used, payments may be processed through a third-party payment provider. Payment processing times, card fees, chargebacks, refunds and payout schedules are controlled by the relevant payment provider. Studio Sen is not responsible for delays, declined payments, chargebacks, frozen funds or decisions made by payment providers.

Hardware such as POS terminals, tablets, receipt printers, kitchen printers, cash drawers, barcode scanners or other equipment may be supplied, recommended or configured by Studio Sen. Unless confirmed in writing, hardware remains the responsibility of the customer once supplied. The customer is responsible for keeping hardware safe, connected, charged, updated and used correctly. Warranty terms may depend on the manufacturer or supplier.

Where hardware is loaned, rented or supplied as Studio Sen property, ownership remains with Studio Sen unless agreed otherwise in writing. The customer must keep the equipment in good condition and return it if the service ends, unless a purchase agreement has been made.

Support is provided during reasonable business hours unless a different support arrangement has been agreed. Studio Sen will try to respond as quickly as possible, especially for urgent order-related issues, but response times are not guaranteed unless a separate service level agreement has been agreed in writing.

The customer must not misuse Sen POS, copy the software, resell the service without permission, attempt to access restricted systems, interfere with security features, upload harmful content or use the service for illegal or dishonest activity.

All branding, designs, written content, layouts, graphics and materials created by Studio Sen remain the property of Studio Sen until paid for in full. Once paid, the customer may use approved final materials for their own business. Studio Sen may use completed work in its portfolio, website, social media or marketing unless the customer asks us not to.

The customer is responsible for making sure their business complies with all relevant laws and regulations, including food hygiene, allergen information, consumer rights, tax, VAT, employment rules, licensing and data protection.

Where customer or order data is processed through Sen POS, both Studio Sen and the customer must handle personal data responsibly.

Customer data may include names, phone numbers, addresses, emails, order history and payment-related information. The customer must only use this data lawfully and for legitimate business purposes.

Studio Sen may process data to provide the service, manage orders, support the system, fix issues, improve the service and keep business records. We do not sell customer data. Some data may be processed by third-party software, hosting, payment or technology providers where needed to provide the service.

The customer must keep login details secure and must not share access with unauthorised people. Studio Sen is not responsible for losses caused by weak passwords, shared logins, unauthorised staff access or failure to secure devices.

Studio Sen may update, improve, change or replace parts of the Sen POS service from time to time. We will try to avoid unnecessary disruption, but updates may be required for security, performance, legal, supplier or technical reasons.

Studio Sen may change prices by giving reasonable notice where possible. Any price change will be explained clearly before it applies. If the customer does not agree to a price change, they may choose to cancel the service before the new pricing starts, unless a separate written contract states otherwise.

Either party may cancel the service by giving written notice, unless a separate minimum term or contract has been agreed. Any unpaid fees, hardware costs, setup costs or other agreed charges remain payable after cancellation. Access to Sen POS may stop when the service ends.

Studio Sen may suspend or terminate the service immediately if the customer fails to pay, abuses staff, uses the service unlawfully, damages equipment, breaches these terms, provides false information or acts in a way that could harm Studio Sen, its suppliers or other users.

Studio Sen is not responsible for indirect losses, loss of profit, loss of business, loss of data, loss of reputation, missed orders or other losses caused by internet failure, third-party outages, hardware failure, payment provider issues, customer error, staff misuse, incorrect menu information or events outside our reasonable control.

Nothing in these terms limits liability where it cannot legally be limited, including liability for fraud, fraudulent misrepresentation or death or personal injury caused by negligence.

These terms are governed by the laws of England and Wales. If a dispute happens, both parties should first try to resolve it by communication before taking further action.

Studio Sen may update these Terms & Conditions from time to time. The latest version will be shown on this page.

Print & Design Terms & Conditions

These Print & Design Terms & Conditions apply to print, design, artwork, branding, signage, promotional material and related services provided by Studio Sen.

By requesting a quote, approving artwork, paying a deposit, making payment or placing an order, you agree to these terms.

Studio Sen provides services including menus, flyers, business cards, posters, banners, stickers, window vinyls, shop signs, branding, design work and other printed or visual materials.

All quotes are based on the information provided at the time of the request. Prices may change if the customer changes the size, quantity, material, finish, deadline, artwork, delivery address or job requirements. A quote is not confirmed until accepted by Studio Sen.

Payment terms will be confirmed before work begins. Studio Sen may require full payment upfront or a deposit before starting design, print or signage work. Orders may not be sent to print or production until the required payment has been received.

Design work may include a limited number of reasonable changes. Extra revisions, major changes, new design directions or additional artwork requests may be charged separately. Studio Sen will let the customer know if extra charges apply.

The customer is responsible for checking all artwork, spelling, grammar, prices, phone numbers, addresses, QR codes, social media details, menu items, allergens, legal information and any other details before approval. Once artwork is approved, Studio Sen is not responsible for mistakes that were visible in the approved artwork.

When a customer approves artwork by message, email, WhatsApp, form or any other written confirmation, this means the customer accepts the design and gives permission for it to be printed or produced.

Once artwork has been approved and sent to print or production, the order usually cannot be cancelled, refunded or changed. This is because printed and personalised goods are made specifically for the customer.

Colours may appear differently on screens compared with printed materials. This can happen because of screen brightness, monitor settings, material type, ink, paper finish and print process. Studio Sen will take reasonable care, but exact colour matching is not guaranteed unless a specific colour-matching service has been agreed in writing.

Print sizes, folds, trims, margins and finishes may have small industry-standard tolerances. Minor variations in colour, finish, cutting, folding, material or quantity are not normally classed as faults.

The customer must provide suitable files, logos, images and information where needed. Low-quality images, screenshots, blurry logos or poor artwork may affect the final print quality. Studio Sen is not responsible for poor results caused by low-quality files supplied by the customer.

If Studio Sen creates artwork, design files remain the property of Studio Sen until paid for in full. Final approved designs may be used by the customer for their own business once payment has been completed. Editable source files are not included unless agreed separately.

Studio Sen may use trusted third-party suppliers, printers, manufacturers, couriers or production partners to complete orders. Studio Sen will take reasonable care when choosing suppliers, but some delays or production issues may be outside our direct control.

Delivery times and turnaround times are estimates only unless confirmed in writing as guaranteed. Studio Sen is not responsible for delays caused by suppliers, couriers, incorrect delivery details, customer delay, late approval, weather, technical issues or events outside our reasonable control.

If an item arrives damaged or there is a clear production fault, the customer must contact Studio Sen as soon as possible with photos and order details. We will review the issue and may offer a reprint, repair, replacement or other suitable solution depending on the circumstances.

Refunds are not normally available for approved custom design, print or signage work unless there is a clear fault caused by Studio Sen or its production process. Change of mind, customer error, incorrect supplied information or dislike of an approved design after printing will not normally qualify for a refund.

For signage, vinyls, stickers and display materials, the customer is responsible for checking measurements, surfaces, installation areas and permissions unless Studio Sen has agreed to survey or install the work. Studio Sen is not responsible for poor adhesion or installation issues caused by dirty surfaces, unsuitable materials, damp areas, poor maintenance or incorrect customer installation.

The customer must make sure they have the right to use any logos, images, names, trademarks, photos, fonts or content supplied to Studio Sen. Studio Sen is not responsible for copyright or trademark issues caused by customer-supplied material.

Studio Sen may refuse to print or design material that is illegal, offensive, misleading, harmful, abusive or likely to damage Studio Sen’s reputation.

All unpaid designs, drafts, proofs, concepts and samples remain the property of Studio Sen and must not be copied, used or passed to another designer, printer or business without permission.

Studio Sen may show completed work in its portfolio, website, social media or marketing unless the customer asks us not to.

Nothing in these terms removes your legal rights where they cannot legally be removed.

These terms are governed by the laws of England and Wales.
